My Client is seeking a highly experienced Team Secretary to carry out Secretarial support to the Director and several members of the Management team, this is a fast paced role and would suit someone from a strong Secretarial background who can hit the floor running and offer an exceptional administrative support.
As Secretary, your duties will be:
*Arranging internal/external meetings for several departments - issue invites for meetings
*Recording staff holidays/absences
*Diary management
*Ordering stationary and specific equipment
*Updating COINS
*Typing up of various documents - memos/appraisals/minutes of meetings - distributing accordingly
*Logging accidents and keeping HSE records up to date
*Answering phones - diverting calls and screening calls for various Managers
*Creating and updating monthly reports
*Collating of packs ready for board meetings
*Oversee the Apprentices
*Liaise with the Training provider regarding training required for staff - update records
*Filing and archiving
*
You will have:
*Excellent Secretarial and IT skills
*Strong administrative and prioritisation skills
*Able to liaise with colleagues at all levels
*Have the ability to be able to work within a fast and sometimes pressurised environment
*Be competent on Word, Excel, Powerpoint and Skype.
*Knowledge of COINS - training can be given
*Possess excellent communication skills
